HIGH HALSTOW VILLAGE HALL
HIRING AGREEMENT
1 Cancellation notice of less than ONE MONTH before the function may incur a charge, which will be determined by the Village Hall Committee.
2 The Hirer, not being a person under the age of 18 years of age, hereby accepts responsibility for being in charge of and to be on the premises at all times when the public is present.
3 The Hirer hereby accepts responsibility for ensuring that all conditions of the Public Entertainment/Stage Play Licence relating to management and supervision of the premises are met
4 The Hirer acknowledges that he/she is conversant with the following matters:
The action to be taken in the event of a fire (including contacting the Fire Brigade and the evacuation of the Hall)
The location and use of fire equipment
Escape routes and the need to keep them clear
Method of operation of escape door fastenings
Appreciation of the importance of any fire doors and of closing all fire doors at the time of a fire
5 In advance of the entertainment of play the Hirer shall check the following items:
That all fire exits are unlocked and panic bolts are in good working order
That all safety routes are free of obstruction and can be safely used
That any fire doors are not wedged open
That exit signs are illuminated
That there is no obvious fire hazards on the premises
6 There shall in addition to the Hirer, be a minimum of {3} competent attendants on duty on the premises to assist people entering and leaving, none of whom shall be less than 18 years of age. If most of the audience is under 16 the number of attendants shall not be less than {6} per 50 children. All persons on duty shall have been instructed as to their responsibilities in the event of a fire or other emergencies, including attention to disabled persons, the location and use of fire equipment, how to call the fire brigade and evacuation procedure.
7 The Application Form states the maximum capacity for each of the Committee’s facilities and it is the Hirer’s responsibility to ensure that it is not exceeded (200 standing/120 seating)
8 The number of people on the premises shall not exceed for dancing, or seated the number permitted under the entertainment licence granted in respect of the premises.
9 All means of exit from the premises must be kept free from obstruction and immediately available for instant free public access.
10 Performances involving danger to the public shall not be given.
11 No flammable, explosive, toxic or other dangerous substances or equipment may be brought into, or within the vicinity of the premises.
12 No internal decorations of combustible nature shall be erected without the consent of the Hall Committee.
13 Nothing shall be done in or near the premises, which may increase the risk of fire or invalidate any insurance policy.
14 No unauthorised heating appliances shall be used on the premises when open to the public without the consent of the Hall Committee. Portable Liquefied Propane Gas (LPG) heating appliances shall not be used.
15 The premises shall not be used for public entertainment between the hours of Midnight and 8.00 a.m. unless special permission has been issued by Medway Council and by the Hall Committee.
16 All areas including the toilets must be left clean and tidy. The Hirer is responsible for the cleanliness of the premises hired; all work surfaces and tiled floors must be cleaned after use.
17 The Hirer should be aware that part or all the deposit may be forfeited if there is loss or damage to any part of the Committee’s property or the premises hired are not left in a clean and tidy state. Where the cost of the loss or damage exceeds the amount of the deposit the Hirer will be responsible for the payment of the balance.
18 The Hirer acknowledges that Chewing Gum, Confetti and Party Poppers is banned on the Committee’s premises.
19 After the premises have been hired the Committee reserves the right to cancel the booking without notice or explanation. In such circumstances any deposit paid will be refunded but otherwise no compensation will be payable under any circumstances as a result of such cancellation.
20 As there are houses in the immediate vicinity, you are urged to adopt a good neighbour code and to leave the premises as quietly as possible.
21 The Committee shall not be responsible for any loss of, or damage to any property or injury (including death) caused to, or sustained by, any person arising out of or in connection with the function unless such loss, damage or injury (including death) was caused by some default or negligence on the part of the Committee and therefore the Hirer will indemnify the Committee against all expenses, costs, fees, damage or injury (including death).
22 The premises or any part thereof may not be sub-let or sub-hired (neither may possession nor occupation be given) to a third party.
